Phecom encourages the users to read and comprehend the privacy policy. Basically, the content of this policy is congruous to the Terms of Use or End User License Agreement. By the using our service, the users of Phecom Online Accounting System website are bound by an agreement and our Terms of Use.

Data Collection

Like any organized system, Phecom collects personal information of the company, users of the system and limited information of contractors and clients. Data such as Financial Position and Financial status, collectibles, payables, sales, expenses are viewable by the users with authorized access, it may be downloadable by excel or PDF format solely with the discretion to share by the person with authorized access.

Let it be known by the term “Personal information” includes company name, individual’s name, email address, phone numbers, bank account number, taxation details, accounting and financial information.

By availing our service and agreeing on our Terms of Use, Phecom is allowed to collect personal information of the users. Further, we may also acquire information during inquiries or reaching out to our support section.

For the availing company and its users, Phecom will force to require certain information such as Company Registered Name, Company Registered Physical Address, Incorporators, Partners, Limited Partners, Individual User Name, Company Tax Identification Number, Individual User Tax Identification Number, Nature of the Business, Accounting Method Used for the purpose of legitimacy of the business, and compliance to government regulations.

Third party information representing contractors or clients are also acquired by the system, limited to encoded/fed by the users, such as Name, Address, Contact Numbers, Tax Identification Numbers. Though the user may omit information in behalf of the contractors and clients, to avoid privacy issues, it is necessary to ensure proper permission of the third party involved.

ACTIVITY AND SECURITY

Phecom’s one of the best function is its security, even the users of the system has their own transaction security such as access passwords, limited menu functions, and most importantly protection from fraudulent acts. As embedded in the Phecom, separation of duties are applied, therefore one cannot use an individual’s access without prior permission. For instance, Officer and Manager are not directly involved in cash operations and handling; the accountant and teller cannot disburse vouchers without Managers’ review and automated approval; the inventory clerk cannot reorder items without managers’ discretion and most importantly the accountant cannot record while has an access of cash at the same time. Auditors can also view transactions, flag and encode comments but correction adjustments reclassification remains in the side of the accountant.

Daily lock/unlock transaction dates are recorded in history and name of authorizing officer. Every transaction is traceable, every input/correction are visible onto the reports. Additions Omissions Deactivation Change/Add of assignments are also recorded on the “Activity” of the comptroller.

PURPOSE OF DATA COLLECTION

As stated above mentioned, Phecom collects data for the purpose of aggregating information on the services you have requested for your business operations. Phecom may use these information for the purpose are directly alluded to, to wit:

• Identity and credentials verification
• Administering the service for your business operations
• Update on system or user interface modification or upgrade
• Carry out marketing or further developments of Phecom Services
• Assistance for any system discrepancies or issues relating to Phecom service
• Compliance to government regulations and consolidate information in any case of court officiated inquiries.

By using our service, we have consent of using your personal information of only things you only authorise. Phecom shall only use the information described in this policy, other descriptions not mentioned should have permission by the user.

INTERNET SECURITY AND ACCESS RESPONSIBIITY

Phecom uses high security providers to host our cloud servers located in Japan of which your information and transactions are stored in Secured Cloud Servers. Every transfer of information is encrypted and your personal information are stored in these servers that have SSL certificates. However, the internet is not secure environment itself and we can give no absolute guarantee of security to the user. Transmission of data in the internet may still be lost, stolen, accessed, copied, modified or disposed by any unauthorised person that’s why it is highly recommend to access your account in a secured device and a secured environment. The data lost or breached by entering an unsecured device or environment is at users’ own risk.

Though your information are stored in highly secured Japanese cloud servers, your transaction data and personal information are in Phecom’s effective control at all times. These servers are limited to hosting and storage service only to Phecom. They do not control and are not permitted to gather your information for any reason except for storing these information. Phecom assures optimum security of these information for the users’ protection. If by any case the user do not want to keep their information on these Secured Japanese Servers, the latter have the sole discretion to terminate or not avail the Phecom Accounting Service.

User Passwords are administered by the availing company’s comptroller but its users’ responsibility to keep the assigned password confidential. Sharing of passwords are strictly prohibited, otherwise it will defeat the purpose of optimum security and protection once breached. If you become aware of breached password, you may request to assign new password from the comptroller.

AVAILED PHECOM SERVICE ONLINE PAYMENT

Once Phecom Starter Account is upgraded to a Phecom Premium Account, payment are coursed through Paypal which you can defray through credit card, debit card or visa prepaid card (paymaya, globe cash card, BPI prepaid). However, Phecom does not store your credit card debit card details, or any card passwords. We may keep details only of credit/debit card as support for source of payment in availing the Phecom Service. Nevertheless, other than being unauthorised of doing so, credit/debit card payments are highly secured and encrypted through Paypal payment service, in a secured environment and a secured device.

DEACTIVATION AND REMOVAL OF THE REGISTERED ACCOUNT

In case of non-payment of your monthly due, your account will be automatically deactivated.

For complete remmoval your account/data from our database, just e-mail us through contact@phecom.com and then we will remove your data immediately.

COOKIES AND THIRD PARTY APPLICATIONS

Phecom uses “cookies”, a small text file stored in your device for record keeping purposes. This does not contain your personal information or identify your personally but it does identify your device. We may use combination of “persistent cookies” and ‘Session ID cookies’ for your overall Phecom service usage, your interaction and interaction with the system.

Phecom accounting system is a browser based program, therefore you may have an option accept or reject a cookie depending on your browser settings. However, refusing to accept cookies may have a negative impact of the functionality of Phecom online accounting service.

On the other hand, Phecom is currently not directly affiliated to any third party applications other than Paypal online payment service and Facebook/Twitter for Marketing Purposes.

PHECOM POLICY UPDATE

Phecom reserves the right to change our policy from time to time, effective on updated website posting. We will notify any change of our policies through Phecom message/notification settings.
